Before serving in any ministry involving children, students, or vulnerable adults, individuals must complete the required recruitment and screening procedures. This protects you. the people you will work with, and the church family.

  • Please contact Candi Thorpe to request a paper copy of the policy if you would prefer one to be printed for you.
  • Read through the policy and the procedures before you begin the videos. Don't worry -- you don't have to memorize them :) But it gives you a birds-eye-view of the policy when you read them in their entirety. Once you're done reading the policy, watch the videos and take the quizzes as you go along.

Procedures for Sunday Kids Ministry and Midweek Program

In kids ministry, the Best Practices Policy outlines the standards and guiding principles that shape how the ministry protects and cares for children. It explains what is required and why—for example, expectations around screening volunteers, supervision ratios, safety practices, and reporting concerns. Our procedures, on the other hand, describes the specific steps people follow to carry out those policies in everyday situations. It explains how things are done—such as check-in and pick-up processes, responding to a medical incident, or what to do if a child becomes upset. Policies set the guardrails; procedures show the route to follow within them.

Youth Ministry Procedures

For midweek Calvary Youth, the Best Practice Policy sets the expectations that guide how leaders create a safe, respectful, and accountable environment for students in grades 6-12. It defines what is required and why—covering areas such as leader screening, appropriate boundaries, transportation, communication standards, and how concerns or incidents must be reported. Youth procedures outline the practical steps leaders follow to put those expectations into action during a typical youth night. It explains how things are done—such as student sign-in and dismissal, supervision during games and small groups, handling behavioural issues, and responding to emergencies. Policies establish the standards; procedures show leaders what to do in real time.

Emergency Procedures

An emergency procedures document outlines the actions everyone in the church must take to respond quickly and safely during urgent situations such as medical incidents, fire, security threats, or building evacuations. It explains who does what and when, ensuring a coordinated response across all ministries and areas of the facility.

While these procedures apply to the entire church, children’s and student ministries must be especially familiar with them so leaders can account for every child, follow evacuation routes, maintain supervision, and communicate clearly with parents or guardians. The goal is a calm, organised response that protects people and supports first responders.
